Attendance
Instructor: Attendance Staff   
Attendance policies are set forth by California Education Code and the Chino Valley Unified School Board.  Our goal is for all students to be in school each and every day.

Parents must notify the Attendance Office whenever their student(s) are not in school.  The Attendance office's phone number is (909) 606-7540 Ext. 5407.  This line is available to parents 24 hours a day. 

Effective starting 04-05 school year:  Verification must be completed within 5 days of the student's return to school.  On the sixth day, the absence becomes unverified and cannot be changed after this date.  

Important Procedures to Remember:

  • Students who leave campus without being signed out are considered truant. 
  • Students will only be released to parents/guardians, or designated person. You may list additional persons on the Attendance Information card that can pick up your student during school hours.  We will NOT release the student to anyone else even with a note or phone call.  A picture ID is required by anyone (including parents) picking up a student. 
  • Sorry, we are not able to have any student sign out/released after 2:10pm.   
  • Students who drive and are required to leave during school hours, must bring a note (before school) written by the parent, stating that the student has permission to "drive themselves off campus" along with student name, reason for leaving, time to be released, parent signature, date and phone number where parent can be contacted.  See sample of letter under "Class Files" below. 
  • Sorry, we cannot accept emails or phone calls to allow students to sign out of school. Signatures are required for verification.  

Truancy Letters are generated monthly.  This is mandated by the State of California.  Any student who accumulates 3 or more single same period absences or 3 all day absences that are unverified, unexcused or verified truant will receive the first letter, warning parents of a potential attendance problem.  Students with 6 or more single same period absences or all day absences will receive a second letter requiring the parent and student to attend a S.A.R.T. (Student Attendance Review Team) meeting with the San Bernardino County District Attorney, LET Truancy Program.  If a student's attendance problems continue, further action may be taken.

Q. How do I clear my student’s absence?
A. Absences can be cleared by either a phone call or a note. Just remember, no absences can be cleared after 5 days.
 
Q. Who do I call to clear an absence?
A. You will need to call the Attendance Office at 606-7540 extension 5407. This is a 24 hour number so you can clear an absence at anytime.
 
Q. What if my student is very ill and will be absent for more than five days?
A. An absence that is longer than 5 days must be cleared with a Dr. note. If a Dr. note is not received, any day after the 5th day will be unexcused. If a student has more than 10 days of “excused” absences in a school year a doctor’s note is required to clear any subsequent absences. If a doctor’s note is not received in those instances, the absence will be “unexcused”.
 
Q. What if my student is sick for an extended period of time, how do I get homework?
A. Any absence for more than 3 days, a homework request can be made. You can call the attendance office to make the request. It will take 24 hours to process. The homework can then be picked up at the receptionist desk.
 
Q. How does the school notify a parent when their student is absent?
A. We have an automated system that will call each student’s home every evening notifying the parent that the student has been “marked absence or tardy for one or more periods”.
 
Q. I left a message to excuse my student’s absence but it wasn’t cleared. Why?
A. Phone connections may make it difficult for the Attendance office to understand your message. Make sure to speak slowly and be sure to do the following:
  • Student’s first and last name, spelling both names
  • Student’s grade level
  • Date(s) of absence
  • Reason for absence
Q. I don’t trust voice mail. Can I use email?
A. No. email is not an authorized way to report an absence.
 
Q. I forgot to sign my student out for a doctor’s appointment. Can I call or write a note to clear?
A. No. If a student has left campus without being signed out, that student is considered truant and cannot be cleared after the fact.
 
Q. My student must miss school for an extended period of time. How can I get the homework?
A. We offer Short Term Independent Study for those situations. The absences must be for 5 or more school days with a maximum of 20 school days. We require 5 days prior notice. The Attendance Office needs to be notified to begin this process.

Parents, please be advised that we cannot interrupt any classes during testing. Students will not be released unless they are in the nurse’s office ill. Please schedule all appointments accordingly. We are sorry for any inconvenience this may cause you.
